Events Coordinator & Executive Assistant (Part-Time)

The Carmel Chamber of Commerce is seeking a highly organized, proactive Events Coordinator & Executive Assistant to support our signature events and daily operations.

This is an in-office, community-facing role for someone who thrives in a dynamic environment and enjoys working closely with local businesses, nonprofit leaders, and community partners.

About the Role

This position plays a key part in delivering the high-quality events and member experiences the Chamber is known for. You will work directly with Chamber leadership to ensure seamless execution of mixers, ribbon cuttings, luncheons, and signature programs.

This is an ideal opportunity for someone seeking 20+ hours per week with potential for expanded responsibilities as the organization grows.

Key Responsibilities

Event Coordination & Logistics (Primary Focus)

  • Support planning and on-site execution of Chamber events and programs
  • Manage event setup in ChamberMaster (registrations, payments, tracking)
  • Monitor registrations and prepare check-in materials
  • Coordinate vendors, supplies, signage, and event-day logistics
  • Serve as a point of contact for member event inquiries

Executive & Office Support

  • Provide administrative support to the President & CEO and VP of Operations
  • Assist with scheduling, correspondence, and special projects
  • Support front-office operations, including greeting members and visitors
  • Maintain organized systems and follow-through on assigned tasks

What We’re Looking For

  • Prior experience in events, office coordination, nonprofit, hospitality, or business support
  • Strong organizational skills with exceptional attention to detail
  • Professional communication skills and comfort engaging with community members
  • Ability to manage multiple projects and meet deadlines
  • Dependable, self-directed, and solutions-oriented
  • Available for occasional evening and weekend events

This is not a remote role.

Schedule & Location

  • Approximately 20 hours per week
  • Primarily weekdays, spread across 3–4 days
  • Core daytime availability between 9:00 AM – 4:00 PM
  • Occasional evenings and weekends required for Chamber events
  • In-office position in Carmel (parking provided)

Compensation

$20–$30 per hour, commensurate with experience and demonstrated ability to perform at a high level.
